What to do during your studies and after returning


Immediately after your arrival at the Host Institution, you should do the following as soon as possible:

  • Visit the Host Department and proceed with your registration (Registration/Enrolment).
  • Give the Erasmus Coordinator the "Certification of Arrival” form (see below) for completion, and then send it to us as a scanned copy within 10 days of your registration at the following email address: erasmus@uom.edu.gr
  • At the latest, within 4 weeks of your arrival, you must meet with the Erasmus Academic Coordinator to discuss the courses based on the Learning Agreement you have already completed. If you need to make changes, you must send the completed "During The Mobility/Changes" section of the Agreement, signed and sealed by the Academic Coordinator, to the Administrative Coordinator of your Department at the University of Macedonia. It is highlighted that this process should be done no later than the first month of your stay abroad.
  • If you wish to extend your studies, you should send a request to the Erasmus Office at least one month before the end of your mobility program, after notifying the host institution.

Important note: Your correspondence with the Erasmus Office of the University of Macedonia and the Host University must be conducted exclusively through your institutional email account.



Actions to take after completing your studies abroad.


Before returning to Greece, you must give the form "Confidential Supervisor's Report” (which you will find below) to your supervisor at the host institution for completion. This document must then be submitted to the Administrative Coordinator of your Department at the University of Macedonia within 30 days of your return to Greece.

Attention! The period of your stay abroad should be at least as long as the duration for which you received the scholarship (up to a maximum of 4 months), or with a deviation of up to 5 days. If a shorter period is confirmed in the Confidential Supervisor's Report, the resulting monetary difference may be deducted from the second installment, or a partial refund of the amount already received by the student may be required. If a longer period is confirmed, this is considered a zero grant.

After your return, you should send the Erasmus Administrative Coordinator of your department the following:

  • The completed and signed Confidential Supervisor's report by the Host Institution.
  • Transcript of Records (the issuance of the certificate of transcript of records usually takes several weeks. Therefore, after submitting the other supporting documents, you may send it by scanned email to the administrative coordinator of your Department). Accumulating fewer than 10 credits, as outlined in the Certificate of Transcript of Records, will result in the forfeiture of the right to receive the remaining 20% of the scholarship.
  • Learning AgreementBefore the mobility (in the event that changes were made to the courses, the "During the Mobility/Changes" section must also be completed, with dates corresponding to the beginning of the study abroad semester. (See the section on "What You Should Do During Your Study Abroad" for details.)

 You should forward to the central Erasmus Office (erasmus@uom.edu.gr) the following:

  • Receipts of the return travel (boarding pass for the flight and tickets for other modes of transportation). If the documents are in printed format, they must be submitted in their original form.

You should submit electronically the following:

  • The Final Report (Participant's EU survey) which you receive by automated message in your e-mail after the end of your mobility program. This is a European Commission questionnaire concerning your mobility.

Completing all the above is mandatory for the disbursement of the remaining 20% of your scholarship (second installment).
