What you should do before moving abroad for a traineeship

Once your participation in the Erasmus+ traineeship program has been approved, you must submit the following supporting documents to the Erasmus Office at least 1 months before your departure, so that the first installment of your scholarship is paid to you on time:

 

1. The Student Traineeship Regulation. To complete it, please check the Completion Guide.

2. the document Before the mobility of the Learning Agreement Learning Agreement for Traineeships completed and signed by your traineeship institution, the Erasmus Academic Officer of your Department and you. To complete it, please follow the steps below:

- Fill in your personal details electronically in the "Trainee" field, as well as the information in the "Sending Institution" field (department, address, Erasmus code: GTHESSAL 02 etc.). In the field "Contact Person name, email, phone", fill in the details of the Erasmus Administrative Coordinator of your Department. Save the document.

- Send the saved document to the host organization, asking them to fill in the information in the "Receiving Organization/Enterprise" field, as well as in sections A and C. They should print and sign the document, then send it back to you as a scan.

- Print the Learning Agreement and ask the Academic Erasmus Coordinator of your Department to fill in table B his details at the end and sign the document.

- Finally, you also sign

3. the European Health Insurance Card. This card covers your medical care needs during your stay abroad. Your insurance provider (typically one of your parents' providers) will issue you a European Health Insurance Card. In the event that your insurance provider requests a certificate of participation in the Erasmus program, our office is responsible for issuing the certificate. It is recommended to apply for the issuance of the European Health Insurance Card at least one month before your departure date. If you are not covered by a public insurance agency, you can contact the Student Affairs Office of our university to inquire about possible medical coverage as a student. If for any reason you do not have a European Health Insurance Card or if you are traveling to a country outside the EU, you will need to obtain full coverage private medical insurance. 

4. Copy of private insurance (and proof of payment) covering: a) Personal accident (including coverage for occupational accidents), and b) Civil liability towards third parties. Private insurance should cover the entire duration of the traineeship and be valid in the country where the traineeship will take place. (note: NO travel insurance).

5. Photocopy of a deposit bookletfrom a bank where you are at least a co-beneficiary. If a deposit book is not available, then a printout from the e-banking platform showing your details (name, Iban). Please be aware that you are responsible for any costs associated with transactions involving the bank.

6. Certificate in the foreign language relevant to the country where your traineeship will take place.

7. Travel documents (boarding pass for the flight and tickets for other modes of transportation). If the documents are in printed format, they must be submitted in their original form.

8. Photocopy of ID or Passport.

9. Solemn Declaration completed and signed. The solemn declaration must either bear the original signature of the KEP (Citizen Service Centers) or be created electronically through the portal https://www.gov.gr/ to ensure digital validity. In the second case, please use the text provided in the template for the solemn declaration.

10. The relevant supporting documents required if you belong to one of the categories of students with fewer opportunities.

 

Note: The beneficiary is solely responsible for completing the documents. You should exclusively communicate with the ERASMUS office using your university email. You must not interfere with or alter articles and fields in the pre-printed forms. Before proceeding to complete the agreement, it is your responsibility to be informed of the exact start and end dates of the traineeship with your host organization.

After your arrival abroad and within 3 days of starting your traineeship: fill in and email to us the Certification Of Arrival.


In case you are selected and wish to cancel your participation in the program, you should fill in and send to us the Solemn Declaration of Cancellation.
