What you should do before moving abroad for studies

Once your participation in the Erasmus program has been approved, you must follow the steps below:

1. Complete one the Application Form which the host institution will grant you (if requested). The host institutions typically send selected students an email with all the necessary information, forms, or relevant links. If this does not happen, you should visit the host institution's website to find the required procedures and documents for your registration.

2. Complete the Learning Agreement  which determines the courses you will attend at the Host Institution and the courses that will be recognized at the University of Macedonia after their successful examination abroad.

The Learning Agreement is completed and submitted digitally (Online Learning Agreement - OLA).

You should connect to the platform www.learning-agreement.eu (OLA platform) to complete the Learning Agreement after carefully reading the instructions for accessing and completing the Online Learning Agreement (OLA), which you will find on the platform here.

Attention! There must have been prior communication and consultation with the Erasmus Administrative and Academic Coordinators of your Department regarding the courses you will attend abroad and which will correspond to the courses of the University of Macedonia and all relevant information.

3. Fill in the Learning Agreement in order to send it to the Erasmus Office of the University of Macedonia (you will be informed about the submission dates by email from our Office). To complete it, please check the Agreement Completion Guide.

Please complete the contract you have received by email from the Erasmus Office as the template changes depending on the Scheme from which your mobility is financed (Call 2021, Call 2022).

4. Contact the host institution for possible assistance in matters of accommodation in the host country.

5. Obtain the European Health Insurance Card. This card covers your medical care needs during your stay abroad. Your insurance provider (typically one of your parents' providers) will issue you a European Health Insurance Card. If the insurance company requests a certificate showing your participation in the European program, our Office is responsible for granting the said certificate. It is recommended to apply for the issuance of the European Health Insurance Card at least one month before your departure date. If you are not covered by a public insurance agency, you can contact the Student Affairs Office of our university to inquire about possible medical coverage as a student. If for any reason you do not have a European Health Insurance Card or if you are traveling to a country outside the EU, you will need to obtain full coverage private medical insurance.

6. Open a bank account in your name or as a co-beneficiary if you don’t already have one, to deposit the scholarship money. At the ERASMUS office of the University of Macedonia, you will need to present either a photocopy of the first page of your bank booklet or a copy from e-banking. Please be aware that you are responsible for any costs associated with transactions involving the bank.

7. Submit the Solemn Declaration.completed and signed. The solemn declaration must either bear the original signature of the KEP (Citizen Service Centers) or be created electronically through the portal https://www.gov.gr/. In the second case, please use the text provided in the template for the Solemn Declaration in the electronic declaration that you will create.

8. Family and individual tax clearance certificate for the requested tax year.

9. Travel documents (boarding pass for the flight and tickets for other modes of transportation). If the documents are in printed format, they must be submitted in their original form. In case you travel by car, you should inform the Erasmus Office so that we can can be provided with the required documents.

 

The above supporting documents must be sent to the Erasmus Office (erasmus@uom.edu.gr).

Selected students receive an email from the Erasmus Office with instructions on submitting the necessary supporting documents. Before sending the supporting documents, it is important that you have carefully read the relevant instructions.

 

Note: The beneficiary is solely responsible for completing the documents. You should exclusively communicate with the ERASMUS office using your university email. You must not interfere with or alter articles and fields in the pre-printed forms. Before proceeding to complete the contract, it is your responsibility to be informed of the exact start and end dates of the semester with your host institution. Otherwise, we cannot proceed with the signing the agreement.

In case you are selected and wish to cancel your participation in the program, you should fill in and send to us the Solemn Declaration of Cancellation.
